Guest Programme

Exchanging innovative ideas, visions and experience is absolutely essential to making progress with interdisciplinary research. With this priority, HGS MathComp takes pride in creating an environment where pioneering scientist at all levels, from leading experts to PhD students, can get together to advance their projects. Our guest programme sponsors the exchange between our doctoral fellows and internationally renowned scientists. We provide financial support for Visiting Scientists in Heidelberg on a short term, as well as incoming and outgoing Travelling Fellows on longer research stays.

 

Visiting Scientists

The Visiting Scientists Programme pays for a short term visit of internationally renowned scientists, cooperating with our PhD students and supporting them by giving lectures, holding workshops or summer schools, supervising their work on a specific topic concerning their thesis, or coming in for the oral component of an exam for a doctorate. Usually the stays don’t exceed one month, but the limits concerning the period of time can be extended if necessary.

1. Application

Applications for visiting guests must consist of a letter of application to the coordinators of the graduate school. The application should contain:

  •     CV of the guest
  •     outline of the cooperation between the guest and our fellows
  •     abstracts of lectures and compact courses intended to be given by the guest during his stay
  •     overview of the expenses (travel & stay).

2. Approval

Based on the information you provide in your application, the board of chairmen decides on the proposal and allots funding. This decision is usually made within three weeks after receiving the application and will be communicated to you via email.

3. Reimbursement of expenses

To start the payment process, guests should contact the HGS office via email or by phone in advance and in person immediately after their arrival. The payment will be made to a European bank account. For extra-European visitors the payment is usually arranged in cash. Please allow for both methods at least 10-14 days to complete.

4. Accommodation

Please note that (as with all guest programmes) the office of the supervisor signing the application is responsible for accommodation and local supervision of the guest.

 

Travelling Fellows

By the travelling fellow programme, we offer the possibility to invite doctoral students from other universities to Heidelberg for a joint research period of 1-6 months. At the same time we enable our PhD students to spend research stays at internationally renowned institutes and Universities like Stanford, CA. In such cooperation the alma mater takes care of the travel expenses, whereas the host university or institute provides for the student’s accommodation and their living. Exceptions can be negotiated.

This programme is especially suited for an exchange with colleagues you meet at conferences or during guest visits at different work groups.

Outgoing Fellows

PLEASE consult your supervisor and follow the procedure of the travel application form and consider the points below.

IMPORTANT: This programme does not reduce your financial support for conferences, workshops or further costs covered by the general travel expenses.

Incoming Fellows

1. Plan

Before applying for this programme, you and your intended guest fellow should elaborate a detailed plan for your projects. The duration for such a stay should be 2-3 months - longer stays are possible, but need a thorough preparation.

2. Application

The application consists of a letter of motivation, written by the HGS MathComp doctoral fellow and signed by him/her and the supervisor. It should explain the benefits of the intended collaboration and possible outcomes (e.g. joint paper, software, short workshop/training ...). Together with the letter of motivation the application must contain the work plan for the stay including milestones for this short project. Please send both documents to the HGS MathComp office.

3. Approval

Based on the information you provide in your application, the board of chairmen decides on the proposal and allots funding. In general, a visiting doctoral student receives support for living expenses while in Heidelberg. The travel costs are expected to be paid by the sending university!

The decision, which is usually made within three weeks after receiving the application, is communicated to you via email.

4. Payment

Visiting students should contact the HGS office immediately after their arrival to start the payment process. Payment goes to a European bank account. In case of extra-European visitors payment is usually arranged in cash. Please allow for both methods at least 10-14 days to completing the process.
